Position Title: Administrative Assistant

Position Summary:
The City of Abilene Administration Department is accepting applications for a full time Administrative Assistant. This is a non-exempt position under FLSA. This position performs a variety of secretarial and administrative duties. Strong record keeping, organizational, communication, and public relation skills are required, along with the ability to adapt to a variety of changing daily tasks.

Job Description:

Certain job functions described herein may be subject to possible modification in accordance with applicable state and federal laws.



Essential Job Functions:
• Answer and collect information and record all incoming correspondence by telephone, as well as walk in visitors and relay this accurately to appropriate staff members;
• Compiles and track records and information for all City Boards & Commissions;
• Administer applications & correspondence for appointments to City Boards and Commissions;
• Complete finish preparations, such as typing, copying and mailing of project documents, permits and any other related information to contractors and suppliers;
• Organize and maintain various internal records and correspondence for all city departments; including but not limited to utility billing, inspection, permits, and licensing;
• Assist City Manager, City Clerk, Finance Director, Community Development Director and City Inspector with researching and producing data for internal project planning;
• Answer public inquiries regarding City programs, complaints, activities and functions and relay information to the appropriate person or department;
• Enter and upload data into MuniLogic – permit and licensing software
• Assist with updating/maintaining City website
• Fill in at Front Desk/Utility billing when necessary, including answering incoming phone calls and covering in absences
Ancillary Job Functions:
• Assists other departments as the need arises;
• Performs other duties as deemed necessary or assigned;

Education and Experience:
A high school diploma or GED is required. Additional education past high school is preferred.

Knowledge, Skills, and Abilities: (Not all inclusive)
A thorough knowledge of office procedures, formatting correspondence and computer applications is required. This employee must be able to operate computers, telephone systems, and other office equipment. The ability to read and interpret reports, manuals, and written instructions. Strong oral and written communication, organizational, and public relation skills are required. This position requires keeping up to date with rapidly changing state of the art technology and having the ability to use and implement technology in the provision of city services. Problem solving is a factor in this position. This employee makes decisions about prioritizing daily work assignments. Timeliness and accuracy are critical in balancing the various needs within the departments and meeting deadlines.

Physical Abilities: Physical activity associated with working in an office setting is required to perform the daily duties of this position.
